    Overview

     

    POSITION SUMMARY:

    The Mail Services Coordinator duties are to prepare incoming and outgoing mail for distribution. Use hand or mail handling machines to time, stamp, open, read, scan, sort, and route incoming mail. Wrap, seal, weight, stamp, and dispatch all outgoing mail or packages. Duties may also include keeping necessary records and completed forms. Requisition, stock, and maintain inventory of all operating supplies.

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Receive, open, date stamp, log, and scan all incoming U.S. Postal Service Mail (including street address and P.O. Box Mail)
    • Receive, prepare, log, scan, and calculate all incoming payments/checks and submit along with hard copy and soft copy receipt to Cashiering for payment processing.
    • Receive and enter into web-based tracking system all incoming express and trackable (barcoded) mail
    • Sort, distribute, and obtain signatures for all incoming USPS, trackable, and express mail
    • Pick up, sort, and apply postage to all outgoing USPS mail, prepare express and certified mail labels and tracking information/receipts
    • Maintain postage accounts and P.O. Box accounts
    • Receive and distribute all incoming supply shipments
    • Prepare all outgoing ground shipping
    • Maintain shipment records and reports as they relate to Mail Services
    • Prepare month-end reporting and cost allocations
    • Inventory and stock various operating supplies
    • Inventory stationary and stock appropriate levels for users. Requisition when levels reach minimum levels.
    • Provide relief for Receptionist for lunch and breaks.
    • Assist with light-duty Facilities-related tasks
    • Ability to work Saturdays as needed
    • All other duties

    Qualifications

    ESSENTIAL KNOWLEDGE & SKILLS:

    • Some physical effort is required which may involve long periods of standing, walking, bending, reaching, stretching, climbing or similar activities as well as lifting or moving items weighing up to 50 pounds
    • Attention to detail
    • Postal rates and regulations including P.O. Box, CAPS, BRM
    • Shipping methods
    • Hand/eye coordination
    • Customer-service oriented
    • Team-oriented

     

    EDUCATION AND/OR EXPERIENCE:

    • High School Diploma required
    • Bachelor's Degree preferred
    • Two (+)  years related copy/mail/clerical experience is preferred.
