    Overview

     

    POSITION SUMMARY:

    The Records Management Manager will work with all operational departments within the organization, as well as imaging vendors, and prior servicers to coordinate the flow of physical documents and images to their designated destination. This position will serve as a key representative for the Records department to assist Acquisitions and Loan Boarding in holding prior servicers accountable for document delivery. Additionally, the Records Management Manager will assist with the oversight of SLAs and performance measures for the Records Department.

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES:

    • Manages the relationships between vendors and peer departments; including Collateral Management and Mail Room Operations, to ensure that documents are flowing properly to their designated locations
    • Ensures processes and procedures are up to date and looks for ways to add efficiencies to work flows
    • Works with prior servicers to ensure timely transmission of missing documents required for loan servicing
    • Serves as Records Management representative on initial and ongoing servicing transfer calls and tracks deliverables for the records departments for inbound and outbound transfers
    • Assist in developing and maintaining SLAs within the Records department and helps to build scorecards for prior servicers
    • Maintains confidentiality of all organizational records
    • Performs other tasks as assigned

    Qualifications

    ESSENTIAL KNOWLEDGE & SKILLS:

    • Knowledge of Mortgage documents and CFPB requirements for loan servicing
    • Leadership experience with emphasis on project management and vendor accountability
    • Intermediate to Advanced experience using Excel, PowerPoint, and Visio with knowledge of additional Microsoft Suite programs
    • Ability to create and analyze data to predict trends, monitor volume, and gauge overall department performance
    • Excellent verbal and written communication
    • Excellent critical thinking skills and a proven ability to work through complex problems under tight deadlines and frequent changes in priority 

     

    EDUCATION AND/OR EXPERIENCE:

    • High School Diploma required
    • Bachelor’s Degree preferred

     

    MACHINES, OFFICE EQUIPMENT & SOFTWARE:

    • Proficient with Microsoft Office applications (intermediate to advance in Excel, PowerPoint, and Visio)
    • Working knowledge of MERS, LPS desktop and MSP – Preferred
