POSITION SUMMARY:

The Corporate Receptionist is the first contact for visitors, deliveries and phone inquiries. The position is responsible for ensuring visitors are logged into the guest register and have appropriate credentials to enter the office. Supplying information to the general public, clients and customers regarding the organization is also an important task of this position.

 

Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Must have a professional appearance and behavior at all times
  • Answer main phone line and direct callers to the appropriate destination.
  • Welcome guests, determine nature of business, and announce visitors to appropriate personnel.
  • Maintain visitors log.
  • Prepare coffee each morning at first floor break room.
  • Provide general administrative and clerical support as assigned.
  • Manage the employee telephone roster.
  • Maintain logs and assist Compliance with posted licensing updates.
  • Prepare letters and documents as assigned.
  • Receive and sign for mail and packages, ensuring they are given to Corporate Mail Services.
  • Organize meetings and schedule for the conference and training rooms.
  • Organize and schedule “Lifesize” and other equipment for meetings, conferences, etc.
  • Keep reception area neat and tidy for visitors.
  • Photograph, program, and issue security photo ID badge to new employees.
  • Manage the issuance and collection of “Guest” and “Temp” employee badges.
  • Conduct semi-annual access badge audits for “Guest” and “Temp” employee badges for Risk Management reporting.
  • Assist Facilities Manager with vendors and order distributions.
  • Back up for Mail Services-must be cross-trained
  • Process outgoing FedEx and Certified Mail
  • Keep log of daily courier deliveries, pick-up times to verify that they are meeting SLAs
  • Manage vending machine refunds
  • Ability to work on confidential projects and assignments.
  • All other duties as assigned.
